HOW TO GET STARTED
There is a simple five step process to getting your online
registration set up. The steps are:
1. Project Definition And Pricing
We will work with you to decide what your online forms should look
like, what they will do, and how they will manage the data and
payments collected. We will also define how the forms will
look. We will then create a detailed quote
that will outline the project and state the exact cost of the
project.
2. Create And Sign The Project Agreement
Once you approve the quote, we will send you a project agreement.
This agreement will be the contract that defines the scope of the
project. This agreement gives us the “go ahead” we need to get
started immediately.
3. Develop Your Online Form: The Genius Is In The Details
Next, we begin development of your form. We will ask you to
fill out the ePly Event Details form to provide us with the
information we need. When we have completed gathering the
details of the event, we will create the actual form, the payment
processing, and the set up the tools you will need to collect and
manage the data.
4. We Make Your Form . . . Perfect
Of course, we will show the initial draft of the form to you, and
facilitate any changes you want to have made. We will provide
as many changes as necessary until you are pleased with the results.
We perform extensive testing and checking to make sure the site is
ready to go live.
5. We Publish Your Online Form And Launch The Registration
When we finalize and approve your form, we publish the form online
and launch your registration. We also provide you with the
tools and support you need to manage the data as the registration
proceeds. We help you use system features, gather reports,
create user access, and provide additional support and service as
needed.
6. We Make Management Of The Registration Data Easy
ePly’s system tracks the “who”, “where”, and “how much” –
information you need to keep your event running efficiency.
Event participants enter their information into the online form,
select a payment option (if payment is required) and click "submit".
The ePly system stores the registration data in an online database
and sends the event participant an email confirming their
registration.
7. We Put The Information, Reports, And Details You Need To Plan
Your Event At Your Fingertips
With ePly’s System Tools you will have access to the registration
data for your event throughout the planning process. ePly’s
web-based forms are stored on secure servers you can access from
anywhere with internet access. You will have reports that you can
view and download, showing event participants, contact information,
payments, and more.
When Should You Get Started?
While our team is capable of completing forms quickly when needed,
it is best to have a registration form done well in advance of the
required launch date. Ideally, begin creating your web form about a
month before your expected launch date. Set up time depends on the
requirements and complexity of your form. We can complete forms
quickly when necessary – even on the same day for simple form
“emergencies”, but it is far better to plan far in advance and give
you plenty of time to review the form and have opportunities for
revisions before going live.
