Keeping the cold out of online event registration.
It seems that the more technology we use the less personal contact we have with
our clients, prospective clients and business associates. Technology is great
for increasing efficiency, but not always as good at building and maintaining
relationships if you normally communicate on the phone or in person.
Online registration uses technology to increase efficiency and if used in the
right way will help to warm up rather than cool down your business relationships
If you want to use online registration and see its many benefits, but also feel
that it may not give you the opportunity to add a personal touch, here are four
strategies you can use to make those connections.
1. Personalize the invitation
One of the first things that you can do is to personalize the invitation.
Whether it is a mailing, a fax or an email you can start by adding the
recipients name. Even better is to add a personal note to the invitation along
with the URL of your online registration form. For larger groups get sales or
customer service staff to send invitations to the people they are in contact
with.
2. Ask for personal preferences
With online registration it is easy to collect and track even the smallest of
details. You can start by collecting the obvious details such as dinner
preferences and special needs etc., but maybe the theme of your event will allow
you to be a little more creative. For example, if you were planning to give
bottles of wine to your guests as a gift you could easily ask if they prefer red
or white.
3. Follow up with a personal note or call.
Just because you are using online registration doesn’t mean that you can’t call
or email someone who has registered to thank them for registering or tell them
that you are looking forward to seeing them at the event. Since the online
database is updated as soon as a registration comes in, it is always up to date
and easy for staff to access the contact information.
4. Call to remind people.
People seem to wait until the last minute to register for some events. A
personal call or an email to remind someone that an early bird discount is about
to end or that the registration deadline is approaching is an excellent
opportunity to give an added bit of attention.
Two more points to consider
A good online registration system is much more than just an online form. If you
have a situation where you want to call event participants directly to invite
them to an event, online registration is still a valuable tool to keep track and
manage the registration data you are collecting.
Point One
If you have several people collecting registration data it doesn’t take long
before data gets duplicated, misplaced, or hard to manage. The person planning
the event will be much happier and will be able to plan a better event if they
have easy access to accurate and always up to date information.
Point Two
Depending on the group of people that you are working with, you may not actually
be dealing with the person attending the event and rather an assistant or other
office staff. These very busy people will also thank you for providing an easy
to use online registration system in order to make their job easier.
