In this second article in our series on Working With Images For Event Planners, we focus on specifics. We provide image dimensions and design tips, list the most common and easily edited quality improvements, and provide a short list of popular graphics editing programs. Using this as a reference, you’ll be able to successfully incorporate high quality images in your event registration form.

In this section, we’re going to start at the end and cover the specifics of what you need the image files to finish as. Ideally, your client, your staff or even you can create the files to these specifications. If not, then you must get there through editing.

Combining Images

You may need to edit the image you receive for one of two reasons: the physical dimensions of the file or image are not optimal or the image itself needs some improvement to its quality.

Some basic editing functions that you can easily do to improve the quality of the image include:

We’ll also just mention here that if you plan on using photos on your event website, you have a great many editing options that can be easily accomplished, including changing the brightness and contrast of the photo, removing redeye and blemishes from headshots, bringing the image into focus, sharpening the edges and even changing the colours.

 

Once you’ve identified the changes that you need to make to the image or the image files, then you can consider what software you’ll need to do the editing. Here are some of the most widely used programs, for all levels of expertise and price points. This list is by no means all-inclusive, and we haven’t included any smartphone or tablet apps.

FotoFlexer: not just for photos, you can easily resize an image without distortion and cut part of the image out of the background.

 

Corel Paintshop Pro: considered one of the “simpler” and least expensive drawing programs, this software will address all your basic-and-beyond editing needs; and it has an improved interface.

Adobe Photoshop and Photoshop Elements: these software programs are the gold standard for graphics creation and editing; Elements is a smaller version that is easier to use, and will be more than enough for whatever editing you’ll ever want to do.

Adobe Illustrator: we include this here for completeness, but this is a professional grade graphics program which your graphics designer may well use.

In creating your event registration form, you now know what you need in terms of the image file and the image itself. You can recognise what needs to be edited and have an idea of the kinds of graphics editing programs out there. Now, the big question is: who does the editing? And that’s what we discuss in the next article in this series, where we present the pros and cons of doing the editing yourself or hiring a graphics designer.   • Keep the file size to under 100kb as small files load quickly and the viewer won’t have to wait to see your registration form
  • The maximum width the image can be is 1000 pixels; however, check the size of your registration form as the image shouldn’t be wider than that.
  • The height of the image is up to you but should be in proportion to the width; around 200 pixels is a good guide.
  • Oversize images may force the viewer to scroll down to find the first field on your form; this is not good design practice and could be annoying

  • Ideally, keep text separate from any images; if the text changes, you won’t have to edit the image and upload to the registration system again.

  • If you need more than one photo or logo in your header, combine them into one image before uploading to ePly; it’s easier to position one image in the header than to jostle several images into position.

  • Cropping the image to make it smaller.
  • Cropping the image to focus on a smaller part of a particular section.
  • Flipping or rotating the image
  • Resizing the image to make it larger
  • Painting over or erasing part of the image to remove unwanted areas or parts of the background
  • GIMP: experts say that GIMP graphics editing software is almost as powerful as expensive photo editing programs. It will do pretty much any editing you wish, but the learning curve may be quite steep.
  • Paint.net: with a simple interface, this program lets you easily resize, crop, cut out and erase parts of your image, plus most other editing requirements as well. Note: for Windows only.
